Step-by-Step Setup Guide

Connect your inventory source and define restock thresholds per product.

Create inventory Zap

Zapier → Trigger: Shopify → Updated Inventory Level

Add threshold filter

Filter: Only continue if Available Quantity is less than [threshold]. Start with 10 units as default.

Map product details

Pass through: Product name, SKU, Current quantity, Location (if multi-warehouse)
Tip

Set different thresholds for fast-movers (higher) vs. slow-movers (lower)

Send immediate alerts to the right people when stock is low.

Add Slack notification

Slack → Post to #inventory-alerts: "⚠️ Low Stock: {{product_name}} (SKU: {{sku}}) - Only {{quantity}} left!"

Add email for critical items

For high-value or fast-moving items: Also send email to purchasing manager

Include reorder info

If you have supplier data: Add "Supplier: {{supplier_name}}, Typical lead time: {{days}}"

Compile low-stock items into a reorder list for easy purchasing.

Create reorder tracking sheet

Columns: Date, SKU, Product, Current Qty, Reorder Qty, Supplier, Status, Notes

Log low-stock items

Add step → Google Sheets → Create Row → Map all product and quantity data

Calculate reorder quantity

Formula: Suggested reorder = (Average weekly sales × Lead time in weeks × 1.5) - Current quantity
Tip

Review the reorder list daily or set up a scheduled digest email each morning

For advanced setups, automatically generate and send POs to suppliers.

Create PO template

Google Docs template with: Supplier info, Product details, Quantities, Delivery address, PO number

Generate PO

Add step → Google Docs → Create Document from Template → Fill in product and quantity data

Send to supplier

Add Gmail step → Send PO as attachment to supplier email (if you have auto-approval for routine orders)

Track PO status

Update Google Sheets row: Status = "PO Sent", PO Number = {{generated_po_number}}

Only auto-send POs for routine reorders with trusted suppliers. Review manually for new suppliers or large orders.
